We are recruiting for a CRM Data Coordinator to join our growing team in our Cape Town office, based near Observatory. This role is being offered on a full-time basis.

This is a junior operational support role within our Marketing & Business Development Operations team. It is suited to someone at an early stage of their career who is highly organised, detail-focused and keen to build practical experience in CRM administration and data quality.

The CRM Data Coordinator will provide day-to-day administrative support for CRM data activities within InterAction, ensuring information is accurate, reliable and fit for purpose. While the role initially focuses on data administration, quality control and reporting support, it also offers opportunities to build skills in CRM systems, user engagement, reporting and continuous improvement as part of the firm's wider CRM strategy.

You will also support the organisation of data, documentation, and reporting processes, helping to keep systems and information up to date, structured, and reliable for marketing, business development, and client relationship activities.

The Opportunity

Join a leading UK-based law firm’s Marketing & Business Development Operations and Locations Team in a South Africa-based role.

As a CRM Data Coordinator, ensure high-quality client and contact data in InterAction CRM, supporting data integrity, compliance, and usability for marketing, business development, events, and client relationship management. Report into the UK M&BD Systems Manager while aligning with local employment standards under the Basic Conditions of Employment Act (No. 75 of 1997).

What You’ll Be Doing  

Data Management and Quality Control

  • Maintain accurate, up-to-date client and contact records in InterAction
  • Conduct regular data cleansing, de-duplication, validation, and archiving
  • Monitor data quality reports, resolve discrepancies, and process data change requests
  • Ensure proper company associations for contacts to enable reporting, compliance, and BD activities

CRM Process Support

  • Manage data imports/exports for marketing campaigns and events
  • Assist with data segmentation for targeted BD and marketing
  • Support the M&BD Systems Manager with testing and checking agreed data rules
  • Maintain consistent taxonomy, sectors, and contact areas of law tagging
  • Support the M&BD Systems Manager with CRM improvement initiatives, including planned system upgrades, testing activities and the rollout of new functionality

User Support and Training

  • Provide first-line support for internal users on InterAction queries
  • Develop user guides and training materials on data entry best practices
  • Over time, support the delivery of CRM training and awareness sessions for lawyers, secretaries, business development and marketing colleagues

Reporting and Insights

  • Run agreed InterAction reports and complete routine reporting tasks for BD and Marketing teams
  • Support the M&BD Systems Manager by collating data and highlighting obvious discrepancies for review
  • Update existing Power BI reports or dashboards where training and agreed templates are provided
  • As experience develops, contribute to enhancements in CRM reporting and data insights to help marketing and business development teams make informed decisions

What You Bring 

Essential

  • Strong attention to detail and accuracy in data handling
  • Proficiency in Microsoft Office (Excel, Outlook, Word)
  • Excellent organisational and time management skills
  • Ability to collaborate in a team environment

Desirable

  • Some exposure to CRM, database or data-entry work is helpful, but full InterAction training can be provided
  • Knowledge of data protection (GDPR) and compliance requirements
  • Background in professional services, law firms, or marketing operations
  • NQF Level 7 equivalent qualification preferred, e.g., Bachelor's degree
  • Exposure to Power BI or reporting tools is helpful but not essential

  • Strong communication skills for stakeholder liaison across the firm
  • Comfortable following defined processes, asking questions, documenting steps and suggesting practical improvements
