We are seeking an experienced and highly organised Personal Assistant to provide comprehensive support to the incoming Group Leader of the Banking and Lender Services Group.

This is a pivotal role, ensuring the smooth running of the Group Leader’s office and enabling effective leadership across a busy, high-profile team. The successful candidate will demonstrate exceptional organisational skills, discretion, and the ability to anticipate and resolve challenges before they escalate. 

This role is being offered on a full time, fixed-term basis.


Key Responsibilities

  • Diary Management: Proactively manage a complex and demanding diary, prioritising appointments and commitments in line with business and personal priorities. Ensure the Group Leader’s time is optimally allocated, balancing internal and external meetings, deadlines, and travel requirements.  
  • Travel & Accommodation: Arrange and coordinate detailed travel itineraries, including booking trains, flights, hotels, and transfers. Prepare comprehensive travel packs and ensure all arrangements are cost-effective and efficient.  
  • Meeting Scheduling & Leadership Support: Schedule and organise meetings, including leadership team sessions, one-to-ones, and cross-team events. Prepare agendas, collate papers, attend meetings as required, and take accurate minutes. Ensure effective follow-up on action points and maintain clear records.  
  • Event Management: Support the planning and delivery of internal and external events, from small team gatherings to larger business functions, ensuring all logistics are managed to a high standard. 
  • Email & Communication Management: Monitor and manage the Group Leader’s inbox, prioritising correspondence, drafting responses, and ensuring timely follow-up on urgent matters. Exercise sound judgement in handling confidential and sensitive information.  
  • Expenses & Administration: Process expenses, maintain accurate records, and ensure compliance with company policies. Support the Group Leader with document production, amendments, and version control as needed.  
  • Trusted Gatekeeper: Act as the first point of contact for the Group Leader, exercising discretion and professionalism at all times. Anticipate potential challenges, raise issues proactively, and act as a trusted advisor to ensure smooth operations.  

 

Your Skills and Experience

  • Previous experience as a PA supporting senior leaders, managing complex diaries, and handling confidential information.  
  • Strong organisational and time management skills, with the ability to multi-task and prioritise in a fast-paced environment.  
  • Excellent communication skills, both written and verbal.  
  • Confident decision-maker, able to work independently and as part of a team.  
  • High level of discretion and diplomacy, comfortable managing sensitive matters.  
  • Proficient in MS Office, Teams, SharePoint, and document management systems.
