We are recruiting for a Real Estate Admin Team Leader, on a full time, permanent basis, to manage and supervise a team of Administrators and support the Core Services Team Lead in our Managed Legal Services (MLS) team in Bristol. In particular this role will sit within our Real Estate Support function covering commercial and residential property work.

As a Real Estate Admin Team Leader within MLS you will join a growing team that is a key element of the Firm’s “Future Ready” strategy. This is a junior management position overseeing a small team of Administrators and ensuring effective collaboration, task performance, and professional development. Section Leads in MLS provide the critical front line management function ensuring the firm delivers on it’s obligations to our clients.

 

Your Role

As a Real Estate Admin Team Leader, your day to day remit includes:

  • Line management of up to 10 Administrators including performance management, career development, discipline and welfare support with HR.
  • Actively manage work levels, quality and resources within your Section.
  • Monitor and supervise the quality and completion of tasks allocated to your Section workflows ensuring timely completion of tasks and escalating issues.
  • Actively monitor Section MI, identify patterns/trends and discuss findings with Project Manager / Legal Lead and MLS Operations Manager
  • Routinely monitoring working methods alongside Team Lead to identify inefficiencies and areas of risk.  Taking steps to escalate (considering relevance and impact on wider team) to the Team Lead.
  • Holding regular team meetings ensuring that the team are kept informed of relevant developments and their team's progress and performance.
  • Using various management tools and methods, managing work quality, policy compliance and standards, including MI.
  • Ensuring supervision meetings and appraisals are conducted.  Working with Team Lead and HR to actively manage and improve staff related issues, e.g. poor performance, sickness, absence levels.
  • Support the Team Lead to develop talent within the team by identifying individual potential.
  • Support team members in achieving agreed objectives through delegation, coaching, mentoring and training.
  • Actively promoting the firm culture and team ethos.
  • Support the Team Lead with the training and induction of new starters Foster a positive and inclusive work environment, promoting teamwork and accountability.
  • Supporting the Team Lead in recruitment activities including shortlisting and interviewing of candidates.

 

Your Skills and Experience

  • Experience dealing with commercial and residential property work (key)
  • Experience of dealing with the Land Registry and HMRC (key)
  • Ability to support with technical day to day queries arising from instructions connected with Land Registry searches, Property searches, Land Registry applications and SDLT returns (key)
  • Ability to monitor and supervise the quality and completion of instructions in particular Land Registry applications and SDLT returns (key)
  • Ability to review a large volume of instructions and be able to assist with prioritisation of work
  • Experience managing tasks in a service delivery industry (essential)
  • Experience with MS Office software (Outlook. Excel, Word etc) (essential)
  • Leadership and people management skills and experience of line management essential
  • Good communication skills to articulate information verbally, visually and in writing in a clear, concise fashion so that the key message is understood is required.
  • Basic knowledge of and be able to use common functions of relevant computer applications with appropriate training.
  • Legal experience (preferred)
  • The ability to understand and apply different task processes.
  • Ability to work under pressure and to tight requirement deadlines.
  • Good organisational skills to manage competing priorities.
