We are looking to recruit a Senior KM Systems Officer to join our Knowledge Management Team within a dynamic and fast growing law firm.

The location for this role is flexible. It is a permanent, full time role assigned to one of TLT’s UK office hubs in Bristol or London, but with ability to work remotely as part of regular work pattern

 

Your Role

As Senior KM Systems Officer you will support the KM Systems Manager in the day to day management of our client extranet platform (HighQ's Collaborate), legal automation/automated document drafting (Contract Express) and our e-signature solution (DocuSign)

You will also provide general support in relation to our MS SharePoint intranet and MS Teams.

Key responsibilities include:

  1. Acting as primary liaison for the extranet platform, providing support for fee earners and other colleagues across the firm, and troubleshooting client queries.
  2. Building extranet solutions for new and existing clients, making use of the latest available functionality.
  3. Providing assistance for BD activities and tenders in proposing extranet solutions and developing demo sites as required.
  4. Working with the Director of Information Technology, KM Systems Manager, FutureLaw and other key stakeholders across the firm to suggest and deliver new extranet products for clients; supporting the design, evaluation, configuration, development and implementation of innovative technology products
  5. Maintaining and developing the extranet platform including: identifying sites for archiving to ensure effective management of storage levels; managing and communicating upgrades to users; managing user access according to TLT governance standards.
  6. Creating user guides and training videos for the various KM systems, including extranet, e-signature solution and any other related systems.
  7. Organising and delivering internal or client training, demos and workshops for the various KM systems, and liaising with external suppliers to arrange any bespoke demos.
  8. Supporting the migration of content from legacy extranet sites, advising on new functionality available.
  9. Providing support for TLT’s automated drafting solutionContract Express. Including working with key stakeholders to identify potential new automations and working with the KM Systems Manager to manage the supplier relationship.
  10. Facilitate and work with intranet stakeholders and the KM Systems Manager to gather requirements, develop, test and deliver innovative internal solutions, e.g. using workflow and automation.
  11. Providing support and training for TLT's e-signature solution (DocuSign).
  12. Providing support for ad-hoc projects and other KM systems, in particular those involving integration with the extranet platform.
  13. Supporting the KM Systems Manager in the promotion of KM systems and the identification and development of any client specific solutions.
  14. Undertaking any other tasks for the KM team and Professional Support Lawyers as and when required and supporting the whole firm and clients in relation to key KM Systems.

 

Your Experience

We are looking for an organised, highly motivated and enthusiastic individual who has the ability to work under pressure and build lasting internal relationships.

  • Experience of supporting data or collaboration rooms, in particular High Q Collaborate
  • Previous experience of managing and developing client extranet solutions is essential.
  • Excellent communication skills, written and spoken English.
  • A highly competent user of the Microsoft Office suite. 
  • Experience of data migration and database maintenance.
  • Have previous experience of working in a professional services environment.
  • Accuracy, sound organisational skills and attention to detail.
  • Ability to be flexible managing tasks and workload on a daily basis.
  • Demonstrate a conscientious, 'can-do' attitude.
  • Be supportive of team members.
  • Common sense, organised, practical and results focused.
  • Good at building relationships with people at all levels.
  • Experience of working with e-signature solutions, survey tools and intranets is also desirable (but further training will be provided in this area)

 

 Your Team

The Knowledge Management function at TLT includes Researchers, Systems Managers, Knowledge Lawyers and Document Production teams. We focus on undertaking both business and legal research, help manage TLT’s extensive programme of current awareness and horizon scanning, as well as a wide variety of third party databases, knowledge systems and automation tools. Working alongside Knowledge lawyers we support colleagues across all parts of the business helping to turn data and information into insight to support our clients.
