We are recruiting for a Personal Assistant to join our Financial Services Regulatory team in London on a 12-month fixed term contract. 

 
Your Role 

  • As a Personal Assistant your day-to-day remit includes: 
  • Extensive diary and email management 
  • Answering and directing telephone calls 
  • Coordinating schedules and arranging meetings and appointments 
  • Arranging travel and booking accommodation 
  • Providing general administrative support 
  • Preparing memos, letters, invoices, statements and other documents 
  • Liaising with clients, colleagues and other PAs 
  • Attending meetings and recording minutes 
  • Monitoring and processing expenses 
  • Arranging dinners and social events 
  • Coordinating schedules and arranging meetings and appointments 
  • Booking meetings rooms or external venues as required 
  • Monitoring inboxes and flagging anything urgent 
  • Ensuring team creds / team structure chart / team intranet site are updated 
  • Updating engagement letter templates / ensuring client due diligence is up to date 
  • Managing team annual leave 
  • Updating and circulating weekly team bulletin 
  • Updating team pipeline tracker 
  • Chasing FEs on time recording 
  • Chasing FEs on mandatory training 
  • Supervision of junior secretary 
  • FE Time recording 
  • Liaising with HR re: new starters 

  

Your Skills and Experience 

  • Previous Personal Assistant experience 
  • Excellent organisation & diary management skills 
  • High levels of flexibility and adaptability 
  • Great communication and presentation skills, both written and verbal 
  • Excellent telephone manner 
  • The ability to multitask and prioritise an ever-changing workload 
  • The ability to work under pressure and reach deadlines 
  • Problem-solving and decision-making skills 
  • The ability to work autonomously 
  • The ability to communicate with and present to senior management 
  • The ability to build relationships at all levels across the business and with external contacts 
  • Experience using the full Microsoft Office suite
