We are recruiting for an Operations Manager in our Document Review & Collation (DRC) team in Bristol, which sits within Managed Legal Services (MLS). The Operations Manager will assist with the undertaking and coordination of tasks within DRC as well as supporting the team leaders in the delivery of DRC objectives. The role will assist in managing the development and maintenance of the various DRC projects and workstreams delivered to their clients within TLT. 

 

Your Role 

As a key addition to the team, day to day you will be involved with:

  • Providing operational input to assist the team leader in making decisions on resource allocation
  • Working with DRC team leader and the Head of Operations for MLS to manage, monitor and report on chargeable hours figures, timesheet entries and other relevant data used in utilisation for the team
  • Working with Team Leader, HR & Recruitment to effectively manage resource
  • Supporting the joiner/leaver/returner process, assisting with work allocation and onboarding
  • Supporting on HR matters, overseeing/authorising team members annual leave and supporting Team Leaders on policies and procedures of other absences
  • Assisting the Head of Operations for MLS with creation of defined processes and procedures, development and implementation of new IT systems to drive efficiency, data visibility and growth of DRC
  • Coordination of regular meetings and updates with third parties' suppliers, to support on changes with suppliers' relationships and liaising with other parties within TLT on the changes/contracts or allocation of licences
  • Working with the Team Leader to ensure all key resourcing risks are made visible and are managed effectively
  • Working with data, systems and technologies to help drive strategic efficiencies for the delivery of work, identifying trends, opportunities, risks, chargeable hours and utilisation
  • Assisting the Head of Operations for MLS with any other tasks or projects assigned

 

Your Skills & Experience 

We are looking for:

  • Strong leadership and people management skills
  • Creative and adaptable problem solver comfortable with a fast paced and open scope challenges
  • Flexibility and comfort in a rapidly changing environment with shifting priorities
  • Experience in supporting and delivering change within an organisation
  • Experience of strategic or operational workforce planning for a major organisation and/ or consulting experience in delivering solutions for clients (Professional Services environment preferred)
  • Experience of workforce / resource planning for complex programmes or portfolios
  • Experience of IT and data systems (e.g. SharePoint, iManage, Microsoft Office)
  • Ability to multitask on a variety of projects and/or daily tasks at any one time
  • Ability to work under pressure to tight deadlines
  • Excellent communication skills with the ability to articulate information verbally and written, in a clear, concise fashion
  • The ability to identify business problems and solutions
  • Strong stakeholder management skills
  • Confident organisational skills to manage competing priorities
  • A background in law or other professional services firm would be advantageous
